Who we are

AICQ Systems Inc. ("AICQ", "we") operates the AICQ quality-management platform and the aicqsystems.com website from St. Thomas, Ontario, Canada. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

Website forms: name, work email, organization, phone, licence type, and your message — when you request a walkthrough, contact us, download a resource, or subscribe to updates.

Platform accounts: name, work email, role, and the activity records the platform necessarily creates (approvals, signatures, audit-trail entries attributing regulated actions to the person who performed them).

Technical data: privacy-respecting analytics (page views and conversion events). We do not run third-party advertising trackers.

Why we collect it

To respond to your enquiries and deliver resources you request; to operate the platform, including the attributable records that Health Canada regulations require licence holders to keep; to send occasional compliance guidance where you have opted in; and to secure and improve the service.

Consent and marketing

Marketing emails are sent only where you have opted in (for example, requesting the checklist or subscribing), consistent with CASL. Every marketing email includes an unsubscribe mechanism, and unsubscribing never affects your use of the platform.

Disclosure

We do not sell personal information. We share it only with the service providers needed to run AICQ (Canadian-region cloud hosting, email delivery, payment processing when applicable), each bound to use it solely to provide their service, or where the law requires disclosure.

Where data lives and how long

Customer data is hosted in Canada (see Security & data). Platform records that form part of a licence holder's regulated record-keeping are retained per the Cannabis Regulations (minimum two years, s.232), because the licence holder is legally required to keep them. Marketing-list entries are kept until you unsubscribe or ask us to delete them.

Your rights

You may request access to, correction of, or deletion of your personal information by writing to info@aicqsystems.com. For records that a licence holder is legally required to retain (e.g. your signature on a batch release), deletion requests are honoured after the regulatory retention period, and we will explain any limitation that applies.
